How does AI shorten month-end close?
Month-end close is the monthly routine of reconciling accounts, checking balances, and finalizing the books so the statements are right. AI shortens it two ways. First, the coding and reconciliations are mostly done before you sit down, so there is less to clean up. What are the confidentiality and data rules?
Client ledgers hold sensitive financial data, and some of it feeds tax returns. Clear three things before you upload anything.
- IRC section 7216. This federal law says a tax preparer must get the client's consent before using or disclosing tax-return information. Putting client return data into a third-party AI tool counts as a use or disclosure, so get consent first where it applies.
- The GLBA Safeguards Rule and your WISP. The Federal Trade Commission treats accounting firms as financial institutions that must protect client financial data. The IRS also requires every tax preparer to keep a Written Information Security Plan (WISP) -- a written document that sets out how you protect client data. Any AI tool has to fit inside that plan.
- Get the terms in writing. Confirm the vendor does not train its AI on your client data, and that you can delete your data on request. A vendor that answers cleanly is telling you something; so is one that will not.
